Agudas Achim Congregation of Northern Virginia (Alexandria, VA) is seeking an outstanding individual to join its Administrative Team as Executive Assistant for its Rabbi and Hazzan on a part-time basis.
The position requires multi-tasking in a warm, progressive, fast paced, supportive environment. In addition to working with the Rabbi and Hazzan. A high level of technical competency is required along with an appreciation for confidentiality with everything that occurs in the office.
This is a 20-25 hour/week position. Some remote work is possible.
Primary Duties and Responsibilities
Administrative support to the clergy and which includes:
• Scheduling all appointments and keeping calendars updated for the Rabbi and Hazzan.
• Scheduling all b’nai mitzvah tutoring sessions (in-person and on zoom) with various tutors, the education director, Hazzan, and Rabbi.
• Sending out weekly lifecycle reminders and donation acknowledgment letters.
• Preparing the bimah sheets, yahrzeit (memorial) and mishaberach (get well) lists for Shabbat and assigning aliyot.
• Ordering memorial plaques, Tree of Life plaques, and updating the memorial alcove computer system.
• Coordinating the members of the beit din with the mikvah calendar for conversions.
• Running various reports on ShulCloud (membership database).
• Be the liaison for local funeral homes to oversee all headstone inscriptions.
• Creating class sign-ups and schedule reminders for all adult education classes, sending out class materials and coordinating the room and tech set up for them.
• Answering congregational emails and phone calls related to clergy and lifecycle.
• Helping with catering needs for big synagogue events.
• Ordering for and coding invoices and credit card receipts for clergy.
• Running all background checks for staff and volunteers through IntelliCorp.
Key Competencies
• Knowledge of or willingness to learn Jewish traditions and practices preferred.
• Excellent interpersonal, organizational, communication, and writing skills.
• Ability to act in a proactive and anticipatory manner.
• Ability to adapt quickly to changing priorities and urgent situations.
• Attention to detail, accuracy, and proof reading.
• Proven track record of working well with others on a team.
• High proficiency in using Microsoft Office applications including Word, Excel, Power Point, Teams, and Outlook.
• Ability to learn and become proficient in use of the synagogue’s online ShulCloud membership database.
• Knowledge of Jewish lifecyle events is preferred, but not required.
